Ordering & pricing
What is your minimum order quantity?
We keep minimums low because many of our customers are boutique and independent hotels. The exact minimum depends on the material and finish, but we’re built to handle small runs that larger suppliers won’t touch. Request samples and we’ll confirm the minimum for the cards you want.
How much do hotel key cards cost?
Pricing depends on material (classic plastic, recycled, bamboo or wood), print finish, encoding and quantity — so we quote each property individually. Pricing is competitive and gets better at volume. The fastest way to a number is to request free samples and a tailored quote.
Can I get free samples before I buy?
Yes. We send a free sample pack so you can feel the wood, bamboo and recycled stock and judge print quality in person — encoded for your lock where possible so you can test them on your own doors. There’s no cost and no obligation.
How do reorders work?
Once you’ve ordered, we keep your artwork and lock specification on file. When you’re running low, a single message brings the same cards back — no need to re-supply files or re-confirm encoding every time.
Compatibility & encoding
Will your cards work with my hotel’s lock system?
Almost certainly. We make RFID key cards compatible with every major U.S. hotel lock — VingCard, Saflok (dormakaba), Onity, SALTO, Häfele, Hotek, CISA, Orbita, Messerschmitt, Kaba/Ilco and MIWA. We match the exact chip and encoding your readers expect so the cards drop straight in.
I don’t know what lock system we have. Can you help?
Yes — this is common. Send us a clear photo of the lock on a guest-room door, or of a current key card (front and back), and we’ll identify the system and the card spec it needs. You can also check our compatibility pages to match the brand yourself.
What’s the difference between MIFARE Classic and DESFire?
Both are 13.56 MHz RFID chips, but DESFire uses stronger, more modern encryption than MIFARE Classic. Which one your locks read depends on your hardware and firmware. We supply both and will match whatever your system uses — see our MIFARE vs DESFire guide for the full picture.
Do I need to change my locks or readers to use your cards?
No. Our cards are made to your existing lock’s specification, so there’s no hardware change. That includes our sustainable wood, bamboo and recycled cards — the RFID inlay inside is identical, only the surface material differs.
Materials & sustainability
What sustainable materials do you offer?
Four main eco materials: FSC®-certified wood (maple, walnut, birch), fast-renewing bamboo, ocean-bound recycled rPVC and rPET, and plantable seed paper. Each is built around the same RFID inlay your locks already read.
Are wood and bamboo cards durable enough for daily hotel use?
Yes. Our wood and bamboo cards are sealed and laminated for the wear of repeated check-ins, pockets and reader swipes. They’re designed for a full guest lifecycle, not a single use — though for single-stay events, seed paper is a great zero-landfill option.
Are your recycled cards really recycled, or just labeled that way?
Genuinely recycled. Our rPVC and rPET cards use real post-consumer and ocean-bound plastics — not virgin plastic with a green sticker. We hold materials and production to recognized environmental standards including ISO 14001, RoHS and REACH.
Can the key card be planted or composted?
Our seed-paper cards contain wildflower seeds and can be planted by the guest after their stay. Wood and bamboo cards are biodegradable at the core. Recycled plastic cards are recyclable where facilities accept them. We’ll help you pick the right end-of-life story for your property.
Printing & design
What print and finish options can I get?
Full-bleed CMYK photographic printing, Pantone brand-color matching, metallic foil stamping, spot UV gloss, matte and soft-touch laminates, sequential numbering, signature panels and more. The card can carry your full design language, front and back.
Can you design the card, or do I need to supply artwork?
Either works. Upload print-ready artwork and we’ll prep it, or send your logo and brand assets and we’ll lay out a design for your approval. We proof every card before production so you sign off on exactly what ships.
What file formats and specs do you need for artwork?
Vector files (AI, EPS, PDF) or high-resolution images (300 dpi+) work best, with bleed and safe margins. Don’t worry if you’re unsure — we’ll send templates and guide you. See our Custom Key Card Design & Printing guide for the details.
Lead times & shipping
How long does an order take?
Lead time depends on material, finish and quantity, plus artwork approval. We’ll give you a clear timeline with your quote and flag anything that affects it. Planning a reorder cadence avoids ever running out — our lead-times guide explains how.
Do you ship across the United States?
Yes. We serve hotels nationwide and ship to all 50 states. Your shipping address goes on the sample and order forms so cards arrive straight at your front desk.
How many key cards should a hotel order?
A good rule of thumb is roughly two to three cards per room, adjusted for occupancy and how often cards go missing. Our “How many key cards does a hotel need?” guide has a simple formula by room count.
Security
Are the key cards encrypted? Who controls the security?
The encryption and access credentials are written by your own property management and lock system when each card is issued at check-in. We supply the printed, encoded blank; your front desk programs each guest’s access on your system. We never hold guest data.
Is a lost key card a security risk?
